The Receptionist role is a key position in ensuring smooth front-office operations and delivering excellent customer service. This role involves interacting with clients, managing inquiries, handling administrative tasks, and maintaining an organized reception environment. The Receptionist works closely with property management teams to support daily operations, maintain strong customer relationships, and ensure efficient communication within the organization.

Responsibilities

  • Attend to walk-in customers and respond to their requests and inquiries promptly.
  • Handle customer complaints and coordinate with relevant officers to resolve issues.
  • Maintain positive relationships with clients and ensure the reception area is clean and welcoming.
  • Answer incoming calls, take messages, and ensure timely callbacks.
  • Maintain control of viewing keys and report any missing keys immediately.
  • Verify office supply requests and supporting documents before submission.
  • Raise purchase requests (PRs) in the ERP system for office requirements.
  • Monitor pantry items daily and maintain adequate stock levels.
  • Provide feedback to supervisors regarding customer needs and possible improvements in procedures.
  • Participate in training programs and contribute to a positive workplace environment.
  • Follow all health, safety, and company policies and report any concerns to the Property Supervisor.

Requirements

  • High school diploma or a Bachelor’s degree.
  • Experience in customer service, reception, or administrative roles is preferred.
  • Ability to work independently with minimal supervision.
  • Flexibility to adapt to changing business requirements.
  • Capability to work effectively in a fast-paced and demanding environment.
